Whereas, the Charter Article IV, Section 7 requires all voting members to attend regularly scheduled and special meetings,
Whereas, accurate attendance records are essential for enforcing attendance requirements and ensuring accountability to constituents,
Whereas, errors in attendance recording can inadvertently affect a representative's standing and may lead to unfair sanctions,
Whereas, verbal confirmation of absences immediately following roll call provides an opportunity to correct attendance mistakes before they become an official record,
Whereas, representatives who depart meetings before adjournment should have their early departure formally documented to maintain transparency and complete attendance records,
Whereas, clear documentation of attendance patterns helps constituents transparently assess whether their representatives are fulfilling their duties,
Be it therefore resolved, that immediately following roll call at the outset of each Student Assembly meeting, the scribe shall verbally announce: “Representatives not present include,” followed by the names of all noted absent voting members,
Be it further resolved, that this verbal announcement shall provide an opportunity for any representative incorrectly marked absent to correct the record before the meeting proceeds,
Be it further resolved, that when any voting member departs a Student Assembly meeting before 15 minutes preceding scheduled adjournment, the presiding officer or scribe shall, without interrupting the current speaking representative, state for the record: “Let the record show that Representative [Name] has departed at [time]”,
Be it further resolved, that these departure notations shall be included in the official meeting minutes alongside attendance records,
Be it finally resolved, that this policy shall apply to all regularly scheduled and special meetings of the Student Assembly from passage onward.
